To ensure our collaboration and the organisation of the events run smoothly, you are requested to take note of the following terms and conditions.
Entering work
Anyone may participate in the online pre-selection process for Europa ZomerExpo 2019, irrespective of age or professional status. Artworks should be entered via the website www.zomerexpo.nl.
NB If the maximum number of entries is reached before the deadline specified on the website, the entry procedure will close.
Selection for Europa ZomerExpo 2019 in two rounds
The selection process for Europa ZomerExpo 2019 will consist of two rounds. During the first round, a selection of no more than 1000 works will be made from all online entrees. During the second round we will present the selected works in at a preview show. 250 works will then be selected, which will be displayed at Museum de Fundatie from 25 May to 1 September.
Terms and conditions of entry for the online pre-selection procedure:
• Entry online exclusively via zomerexpo.nl, with a valid email address.
• The costs of entering work for the online pre-selection procedure are €10 per work.
• If you are uploading outdoor work for the online pre-selection procedure, please add ‘BUITENKUNST’ after the title.
• If entering series or work consisting of several separate artworks (such as diptychs, triptychs, etc.), please enter each part separately.
• Please upload one image of each artwork, showing the entire piece.
• The jury will view only image 1 of each two-dimensional work.
• You may add up to two extra images of freestanding three-dimensional works, showing the work from different sides.
• The jury will only view extra images of freestanding three-dimensional works.
• Films, animations and media art: upload a still with a link to the film itself.
• Films and animations may last no longer than 2 minutes.
• Images submitted by artists for the online pre-selection process will not be made public or posted on the website.
• Your entry will be confirmed once you have paid online.
• You may not cancel your submission for the online pre-selection.
• You will be informed of the result, by email, before 1 April 2019.
• If your work is not selected for the ZomerExpo Preview (second round of selection) ArtWorlds will remove from its records all images sent by you.

• If your work is selected for the ZomerExpo Preview in Amsterdam or Heino/Wijhe, you will receive an invitation for the show by email.
• The costs of participating in the ZomerExpo Preview are €25 per artwork. You are requested to pay this by bank card when you deliver your work to the show.
Anonymous selection
• Regional juries consisting of curators, gallery owners, journalists and artists will anonymously select up to 1000 works from the online submissions.
• The organisers will show the images to the jury without divulging the artist’s name. Any title and technique and/or medium will be mentioned.
• The works selected will be displayed at the ZomerExpo Preview without the artist’s name, but with any title and the technique and/or medium specified.
• During the ZomerExpo Preview a specialist jury and a public jury will anonymously vote using a distribution system for a total of 250 works to be displayed at the Europa ZomerExpo 2019 at Museum de Fundatie.
Insurance
ArtWorlds, Museum de Fundatie and the Van Gendthallen take no responsibility for damage occurring during the previews or the exhibition. Any damage to the work must be covered by the artist. The artist is responsible for insuring the work. This applies to both indoor and outdoor artwork.
Terms and conditions and procedure for delivering artworks
ZomerExpo Preview and exhibition at Museum de Fundatie:
Indoor work (in gallery):
• Maximum size: 2 x 2 (x 2) metres
• Maximum weight: the work must be transported by the participant.
Procedure for delivering work:
• You will receive an invitation by email to deliver your work on 13 or 14 April 2019. If you bring the work on 13 April, you will be expected to collect it on 20 April, and if you bring it on 14 April, you should collect it on 21 April.
• On arrival, you should report for registration. You will be required to pay €25 per artwork (by bank card only) and complete a registration form.
• If the artwork you bring to the ZomerExpo Preview differs from the entry submitted online, it will not be admitted.
• Every artwork submitted must have a visible label or sticker with the name and contact details of the artist.
• Each artwork must be accompanied by a (visible) form with information for the jury: title, technique/medium, format and year.
• You will have no longer than 30 minutes to construct freestanding three-dimensional work.
• Your work will remain on display for the entire week so that the juries can select works for the exhibition.
• In view of the anonymity of the selection procedure, please do not sign your work.
• The organisers will not enter into any discussion of the procedure.
• Photographs will be taken of all works. The organisers will use them for publications associated with Europa ZomerExpo 2019. Information on image rights can be found at the end of these terms and conditions.
• The selection for the exhibition will be announced no later than 21 April.
Technical terms and conditions:
2D (e.g. paintings, photographs and other wall-mounted flat works)
• If you frame the work, make sure to use a robust framing system.
• Protect the corners (no sharp or protruding parts).
• Protect unframed works adequately for storage and transport.
3D and installations
• If the work has been selected for the exhibition, any necessary instructions for installing and dismantling the work must be provided (max. 1 A4).
• If your work is designed to be touched (e.g. a book, or work with a start button), you yourself will be responsible for ensuring the system used is robust and user-proof.
• Any damage to the work must be covered in its entirety by the artist.
Films, animations and media art
• During the ZomerExpo Preview you should give a clear presentation of no more than 2 minutes of the work, delivered on a USB stick.
• If the work is selected for the exhibition, send it to ArtWorlds (info@zomerexpo.nl) in its entirety, on a USB stick or via WeTransfer.
• The images must be in the form of at least an MPEG-4 file with a resolution of at least 1280 x 1024 pixels. H264 in mp4 or mov format is also an option, subject to the same requirements in terms of resolution.
• Sound: 16bit 48kHz stereo, AAC format for H264.
• Give the work the following file name:
title_name of artist_ZomerExpo 2019.
Performances
• For delivery of a footage of a performance, see instructions for films above.
• Presentation of a live performance by appointment will not be possible.
Work in series
• An original print (2- or 3D), which means that your artwork consists of a number of prints of the same material.
• The number of prints in the series should not exceed 250.
• If the work is selected, the size of the series as indicated may not be altered during the run of the exhibition.
Scale models
• Two- or three-dimensional sketches and designs of structures that can be built on a larger scale (e.g. bridges, buildings or large objects).
• The sale price must refer only to the design/model, not to the work executed at full scale.
Outdoor art:
• Maximum size: none
• Maximum weight: the work must be transported by the participant.
• The work must be able to stand, hang or float independently.
• If necessary, the organisers will place a plinth or baseplate under the work.
Procedure for delivering work:
• Report on arrival at Nijenhuis Castle. You will be required to pay €25 per artwork (by bank card only) and complete a registration form.
• Every artwork submitted must have a visible label or sticker with the name and telephone number of the artist.
• Photographs will be taken of all works. The organisers will use them for publications associated with Europa ZomerExpo 2019. Information on image rights can be found at the end of these terms and conditions.
• Makers may not be present during the jury process. Jury members will not be informed of your name and background.
• After the jury process, you will be informed as to whether your work has been selected for the exhibition.
• If your work is not selected, you are requested to dismantle and remove it from the site. The organisers will assist you if necessary.
• The organisers will not enter into any discussion of the procedure.
• If you work is selected, it will remain on site and will be installed by museum staff, in consultation with you.
Technical terms and conditions:
• You will be responsible for transporting your work.
• The work will be displayed in the open air, and must therefore be weather-resistant.
• Bear in mind that the ground on which your work stands might be soft and uneven.
• Your work must not have any sharp edges and/or any hazardous materials that can cause harm to the public.
• The work must not include any delicate parts, or parts that can easily be damaged.
• It must be possible to attach the work to a plinth or baseplate.
• Works may stand on the grass if they can be anchored in the ground.
• If your work is selected, you must supply clear technical instructions for construction and dismantling (max. 1 A4).
• Any damage to the work must be covered in its entirety by the artist.
In the interests of the safety and quality of the exhibition, ArtWorlds reserves the right not to admit to the previews and exhibition any works that do not comply with the conditions below.
NOT PERMITTED AT PREVIEWS AND EXHIBITION:
• Works that are flammable below 50 degrees Celsius, have hazardous or toxic contents, include living organisms or pose any risk whatsoever to staff and visitors.
• Works that require a continuous supply of electricity and can therefore pose a fire hazard.
• Works which the participant is unable to transport and/or install him-/herself.
• Works with an unsound or excessively fragile structure.
Transport to museum/castle:
• You are responsible for transporting the work to and from with the previews and the exhibition. Transport costs will not be reimbursed by the organisers.
• Details of arrangements for transporting work to and from the ZomerExpo Preview and the exhibition will be sent by email.
• You must stick to these arrangements. If you are unable to bring the work yourself, you may ask someone else to do this for you.
• Any work weighing more than 25 kg must be delivered on wheels or on a suitable trolley. You must supply these things yourself. Bear in mind that you will be required to walk 100-200 metres from the place where the work is unloaded to the castle.
• Artists relinquish all rights to works that are not collected on the date specified by the organisers without any explanation as to why will not been collected on that date.
Exhibition
• If your work is selected for the exhibition (indoor art galleries), you will be sent a time slot on one of the delivery days in May 2019 by email.
• If the artwork you bring to the exhibition differs from the work selected during the ZomerExpo Preview, ArtWorlds and Museum de Fundatie will exclude it from the exhibition.
• Works will be installed as the curator(s) see(s) fit. The curator(s) will not enter into discussion with artists on this matter.
• Artists with work in the exhibition will be given an exclusive invitation for the opening and closing of the exhibition.
Sales and contract of sale
• If your work is selected, you are obliged to offer it for sale during the exhibition period.
• To participate in the exhibition, you must sign a contract of sale for each work in advance.
• The price and number of works in a limited edition may not be changed from that specified during the course of the project year and the exhibition.
• If your work is part of a limited edition of more than 10, at least 10 contracts of sale with edition numbers must be submitted in advance to ArtWorlds.
• If a work is sold, ArtWorlds will receive 30% of the sale price and you will receive 70%.
• The price indicated must be all-inclusive.
• Please bear in mind that as an artist you are required to pay 9% VAT (over the 70%).
Image rights
• Artists grant the organisers (Stichting ArtWorlds and Museum de Fundatie) permission to make recordings and images of their work(s) on film, video, photograph or any other medium and to incorporate these recordings in part or in their entirety into a visual product (programme or publication); also to make the recordings and/or product available in part or in their entirety to the public, irrespective of the technical standards applied or equipment required for the public to access the content and of the technology used, and without any additional remuneration being payable for copyright, associated rights or any other rights.
The recordings/images may also be used for promoting the Europa ZomerExpo 2019 event in all media.
• Artists grant permission for an image of their work to be included in a publication on some or all of the participating artworks, which will be marketed without any additional remuneration.
• Artists will indemnify the organisers against any claims by third parties in this connection.
• The organisers do not have the right to commercialise any images of the work (in any way other than mentioned above) without the express permission of the artist.
• The photographs of the works entered supplied by artists will be removed immediately from ArtWorlds’ systems if the work is not selected in the first online selection round.
Personal information
• Personal information supplied by artists will be entered into the organiser’s (Stichting ArtWorlds) automated system for the purpose of contact with the artist in connection with the project.
• This information will not be stored for any longer than necessary. Artists have the right to review and correct any personal information stored on them.
